Overview
When you create a Capacity Management Scenario from a Portfolio Dashboard, not all projects listed in the portfolio will necessarily appear in the scenario. This is expected behaviour and is driven by specific inclusion rules related to Resource Departments / Organisations, demand, and visibility settings.

1. Why do I see fewer projects in my Scenario than in my Portfolio Dashboard?
Only projects that meet the Scenario Planning inclusion rules will appear in a Capacity Management Scenario. Projects listed in the Portfolio Dashboard are filtered further when a scenario is created.
The most common reason projects are missing is that they do not have a Resource Department or Organisation assigned at the time the scenario is created.
2. What are the rules for a project to appear in a Scenario?
A project will appear in a Capacity Management Scenario only if it has:
- A Resource Department or Organisation assigned
Demand alone is not sufficient to guarantee inclusion.
3. What happens if a project has demand but no Resource Department?
The project will NOT appear in the scenario.
Even if a project has demand defined, it must also be linked to a Resource Department or Organisation to be included.
4. What happens if a project has a Resource Department but no demand?
The project WILL appear in the scenario.
Projects without demand are still included as long as a Resource Department or Organisation is assigned.
5. If I assign a Resource Department later, will the project appear automatically?
Not automatically. Scenario membership is determined at the time the scenario is created. However, if a project:
- Did not have a Resource Department when the scenario was created, and
- Is later updated with a Resource Department or Organisation
You have two options:
- Manually add the project to the existing scenario using the Add Project option, or
- Create a new scenario, which will include the project automatically if it now meets the inclusion rules
This allows flexibility without always requiring a new scenario to be created.
6. Can hidden projects affect what I see in a Scenario?
Yes. Projects can be hidden from Insights and Scenario Planning.
If a project is hidden:
- It will not appear automatically in the scenario
You can review hidden projects by:
- Navigating to Resource Allocation > Settings
- Checking visibility settings
- Using Add Project within the scenario to view a list of hidden projects
7. How can I troubleshoot missing projects?
If projects are missing from your scenario, check the following:
Resource Department / Organisation
Is one assigned to the project?
Scenario creation timing
Was the Resource Department assigned after the scenario was created?
Project visibility
Is the project hidden in Resource Allocation settings?
Add Project option
Use "Add Project" within the scenario to see if the project is available but not included by default
8. Is this behaviour expected?
Yes. This behaviour is by design and ensures that Scenario Planning only includes projects that are relevant for capacity and resourcing analysis.
