Core Dashboard Widgets

We will now work through examples of some of the core widget types on the dashboard.



My Project Widgets    


At the top right of the Widget you will see   


Click on the cog to open the “My Project Settings” pane.



  • Click the icon to expand to full screen.


Click the  icon in the right-hand corner of the widget to minimise the screen.  

Widget Title

You can change the name of the Widget and this applies to all widgets.


Click into Widget Title and type in the new name:

Click SAVE.

The Widget will now show the new name.




"Projects where I am"


The “Projects where I am” allows you to pick the roles you have on the project, or roles that have been defined for you using a smart form, e.g. Project Owner, Project Manager, Project Sponsor.  You also have the option to “Select All”.



"Project Status"

This filter automatically updates based on the selection in “Summary By”.  


In the following examples we are showing Summary by “Project Status” and “Project Type”.



Filter by:


Filter by lets you to select any value that is available within the project.


Hide Details Section


The widget width can be adjusted by checking the ‘Hide Details Section’ checkbox.

 


If ‘Hide Details Section is checked, the item counts and financial summary are not displayed and the widget size is reduced.   


Show Open Items Counts for:


“Show Open Items Counts for” lets you to select any value that is available within the project, and displays counts of items from the selected registers (including the risk and issue logs).



Project Financials

If you want to bring through the financial data to the widget, check the box.


Searching for Fields


You can use the Search field to select the fields you want to include:


Type in the name of the field that you want to include in your report grid, for example RAG.  We have selected “RAG – Health & Safety” to bring across to the report grid.



NOTE: The search function is the same across all the widgets.


 

To show the smart form group name in the column headers – check the box.


Display Order:


You can choose from the drop-down list the order of the display on the widget. 


Chart Type


Chart types in the dashboards (bar, pie, column, donut and tree) are available for the following sections:

  • Projects 
  • Issues 
  • Registers 
  • Tasks
  • Click on the “Chart Type” to see the list of display options.   


On the following screenshot you can see examples of Donut, Bar, Treemap, Pie and Column Graphs.





Abbreviated Chart Axes and Abbreviated Values


Depending on the volume of records and the monetary values associated with them, numbers in the tens of thousands or millions may need to be displayed in widgets.  These numbers can be difficult to read and interpret so there is an option to abbreviate large numbers. 

The default is set for all users in their user profile: 

NOTE:  If the user changes their profile setting, all of their dashboard widgets will be reset to the new settings and any overrides will be removed.


Click SAVE.


Widget Full Screen


When you expand the widget in the dashboard using the  icon, it opens the full screen which shows the summarised data of the individual projects.  


Expand and Collapse


When expanding a dashboard widget to show the data behind, the widget graphic still takes up some space at the top of the page.   To allow you to view more data, it is now possible to hide the widget graphic by using the expand/collapse icons  


 

Clickable Widget Image


All of the widget images (Bar chart, Column, Donut, Pie chart, Treemap) are interactive.  


You can click on different aspects of the image to pull through the data that is applicable.  For example, by clicking on the “Green box” this displays the nine projects that have a Green project status and the selected part of the image becomes prominent.



Function Bar Options: Views, Columns & Export

On the right-hand side of the menu bar, you can select “Show Views”, “Show Columns” and “Export”.



Columns


Click on “Show Columns” to open the column header names.



Showing & Hiding Columns


Click on the column names to choose which column headers you wish display or hide.   In this example, when we click on the following column names: Audit Stat, Cost Var and Project ID, they become greyed-out and the columns are removed from view



Simply click on the greyed-out column names to display the columns again.


You can change the order of the columns in your table by dragging and dropping the column heading to the desired location.



Click Hide columns to collapse the column header names display.



Sorting and Filtering Columns


You can sort the column data by clicking on the heading.  For example, if you want to show the latest Audit Date, click on the column header and you can sort and view the date by ascending or descending.



Show Views


“Show Views” allows you to select from pre-configured views and works in conjunction with the filters.




To apply a filter, click on the vertical Ellipsis  in the column header.  



This will open a new menu with sort options.  


Its possible to search for your project in the drop-down list, or you can search for the project by typing the project name in the search bar.  In this example we have chosen “Culture review” and “Customer Experience”.



Click “Apply” to view only your selected projects in the pane.



Save A View


To save a view 


Click SHOW VIEWS.



The following options will display on the function bar:


Click SAVE




This will open the following pane where you can give a name to the filtered view that you wish to save.  


In this example we have called the filtered view “My Project View”.  


Check the “Shared View” box.

Note:  When you build a view, it is only you that can see that view.  Once you tick “Shared View” it becomes available to all users on the system. 



Click SAVE.

 



Your saved view can be selected from the drop-down menu when you click on “Show Views”.


Use the drop down to toggle between your saved project views. 


Delete A View


To delete a view that you have created, surface the name of the saved view.  In the following example we are deleting “My Projects”.


 


Click DELETE

The following confirmation pane will open



Click DELETE to continue or CANCEL to abandon the action.




The view is deleted and no longer available in the saved views drop-down list.


Hide Views

Click HIDE VIEWS to close the function bar options.




Export to Excel


To export to an excel file click “Export” on the right-hand side of the function bar.



The item will be downloaded to your computer and displayed in the top right corner where you will be able to open the file.



Click on  to open the file.

You also have the option to export the Widget data and image.  Click the Ellipsis icon in the right-hand corner of the widget to export the contents.


This brings you to the following pane where you can choose to export the widget as an Image or an Excel file.



Click EXPORT to download your files.



Ellipsis

You can use the Ellipsis icon in the right-hand corner of the widget to export the contents or remove the widget.
