Programme Dashboard Widgets

We will now work through some of the core widget types on the Programme dashboard:


  1. Summary Widget
  2. Resource Widget
  3. Project Widget
  4. Milestone Widget
  5. Financial Analysis Widget
  6. Risks Widget
  7. Register Widget



Summary Widget

The Summary Widget when viewed at Programme level displays information for the programme and all projects within it.


Each of the tiles on the widget are clickable and allow you to drill through to key information about your current Programme and Projects. 


The bar makes important information easily accessible.


For example, if you click into the tile it brings you into the overall programme dashboard, which shows all of the projects within that programme.



Note:  The clickable tiles in the “Summary Widget are covered in detail in the “Project Dashboard” document.

Resource Widget


The Resource Widget, at a programme level, shows the rolled-up data from all the projects within the programme.  


Viewing the Resource Widget provides the Programme Manager with a single view of what is happening with the Programme, from a resource perspective.  


Once you expand the Widget, it displays a summary of resource information for each Project within the Programme.




Project Widget

The Projects widget shows what is happening on all the projects within the programme.



Click on the icon to expand the screen and view the summarised data of the individual project(s) within the Programme.




The projects widget now includes an additional filter option.  The projects displayed in the widget can now be filtered by Status, Type, Stage and any configured custom field of type drop-down.  



 

Milestone Widget


The Milestone Widget shows the status of all Milestones in the Programme and displays the milestone deliverable, deliverable detail and task name.





Click on the icon to expand the screen and view the status of the Tasks and Projects within the Programme.



If the user has selected to show only milestones for the current project (i.e., the programme) then the milestone detail appears as it would for the Project Dashboard.  However, if the user has selected to view milestones for all projects, the project name is displayed.



Where the detail is longer than the space available, this is indicated with an ellipsis with the full text in the tooltip. 


Note:  On the Executive (Portfolio) Dashboard, the project name is always displayed.


Financial Analysis Widget


This Widget graphically presents the management of project funds reflecting current financial status and cumulative and comparative data and trends.


Display options can be modified by accessing the Settings button.  Here you can refine your selection criteria to capture the financial elements you wish to view across a specific date range to present summary interpretations of the data.


Expand the widget by clicking on the icon.



This opens the values for the project.  



To change the information being displayed, go into the settings on the top right of the widget and click on the settings icon.  



This opens the Financial Management Settings pane.



“Detail Display” gives you the option to display “By Project” or “By Account Code”.  


By Project:  



If you select by project, the widget will display a summary view of the financial data for multiple projects at programme level.  This is powerful because it lists the costs for each project within the Programme.


This shows a view of all of the projects within the programme and all of the financial information.



By Account Code:

Note: You can de-select the options you do not want to see on the widget.


Click SAVE and the widget outputs the information by account code.



If you want to show “Specific Account Codes”, you can choose from the Account Codes from the available list or search by typing the name into the “Search” field.



Click SAVE to keep your selected options.



Date Range:


You can click into the Date Range box and choose one of the pre-set options, e.g. Last Year, This Year, Next Year, etc., or use the “From Date:” and “To Date” fields to choose the dates you wish to view.


In the following example we have chosen to display the information by “Quarter” and picked the pre-set option “This Year” in the Date Range field.




This will display your chosen criteria on the widget



Risk Widget



The Risk Matrix Widget lets you see at a glance, regardless of the risk owner, the cumulative number of risks on the Project or Programme you have, together with the amount of time and money at risk.



Click on the settings icon  to open the “Risks Settings” pane. 

You can choose to display Open, Closed or All risks on your widget.


Navigate to “Risks” and choose from the drop-down list


Navigate to “Show” to check the option you want to view: “All Risks”, “Risks for this Project” or “Marked as Programme Risks”.


Note: 

If you are on the Programme Dashboard with projects showing on the Programme Structure then the “All Risks” will display all risks captured in the projects with in the programme, as well as any risk(s) captured at this programme level too. “Risks for this Project” will only show risks capture at this programme level.


Navigate to “Matrix”



Depending on which Matrix you select, this determines the information displayed on the widget, for example, Number of Risks, Cost Impact, etc.


Click SAVE to keep your selected options.

Click the icon to expand the pane and view all of the risks across all of the projects.


Clicking the pop-out icon   opens up the following pane, where you can view the risks without having to leave the dashboard.  In this example we are using “Reduced Budget”.  


In this window you can see everything that is happening on the risk.   You can then move onto the next one within the Dashboard. 


This allows Programme Managers to have their own work-bench and to look through everything from the Programme dashboard.


Register Widget

The following Register Widget that we are going to look at is the “Change Log”.



The settings on the widget allow you to control whether or not the items displayed on the widget aggregate all the projects within the programme (all the information from the projects roll up to the programme level) or just the items at the programme level.


Note:  Register Widgets can be configured differently in terms of graphical outputs, however the settings described in the document are consistent across all widget types


If you click on the settings icon  this opens the following pane:


Here you have the option to show “All Change Log” or “Change Log for this Project”.


Selecting “All Change Log” shows the details on the widget below:


Expand the widget by clicking on the expand screen icon. 


This shows the cost information from all the various different projects within the Programme.


From this pane you do not need to go into the individual project(s) to see what is happening.  Instead, you can click the pop-out icon  

which opens up the register item without leaving the dashboard.

This allows Programme Managers to have their own work-bench and to look through everything from the Programme dashboard.
