Resource Approval

Modified on Thu, 28 Nov, 2024 at 11:26 AM

As we have seen previously in this document, we can do a skills request and also an individual request for particular resources. What this part of the document is going to show is how those requests can be approved or rejected by a resource manager.

Once a Resource Manager has been assigned, he/she will either get notifications via email from comments on resource demands from projects, or they will identify pending approvals via the resource insights page discussed in the Insights document.

Note: If a resource is assigned by a Resource Manager, the request will be automatically approved. If the resource was assigned by someone other than the Resource Manager, it must be approved.

This is all done from the Resource Demand page.

Step 1 - Open the Skills Tab on the Demand page

Click Edit Mode.

Each resource that needs approval will be displayed with a green vertical bar.

Note: To see the requested resource, click the + icon next to the Skill to see the requested resources.

Note: When there are multiple requests for resources to be approved, click the + icon in the top panel to open all the requested resources.

Step 2 - Approve (or Reject) the Request

To approve the request, click the green tick and to reject the request click the red cross.

In this example, Rees, Paul has been approved by his manager.  This is shown by the green tick to the right of his name in the resource grid and the allocation line turns green.

In this example, Fitzgerald, Gerry has been rejected by his manager.  This is shown by the red cross to the right of his name in the resource grid, and the entries in the grid are scored through with a line.

You can use the reset icon to reverse the approve/reject decision before pressing SAVE to confirm.

Note: Rejecting a request does not remove the row. The rejection is written to the history and the entry can be edited either by the Resource Manager or by a Project Manager. If you want to remove the row altogether, click Clear and then Save.

Once approved, the resource becomes available to the project manager for allocation to tasks on the project.
